Overview of the role:
The initial focus of the role is to manage and ensure the smooth operation of the existing Airivo Shoreditch site and to assist in the refurbishment and set up of a new serviced office building in Farringdon. Under the guidance of the Airivo Management team and using their communication and management skills, they will oversee contractors on site to ensure the smooth and timely delivery of the project and be integral to the overall operational set up of the site.
Utilising their knowledge of the serviced office industry, the Centre Manager will contribute significantly to the sales and marketing strategy of the centre/letting of the space and then subsequently, the operational running of the centre. Working closely with Airivo Management, the Centre Manager will uphold the company’s vision and aims by maintaining high standards within the building at all times and will instil these values in other team members.
• Project Management and Procurement
The role will include the management and delivery of the initial refurbishment project and any subsequent improvement programs. The Centre Manager will ensure any works are carried out to a high standard and in accordance with Health and Safety regulations. They will also manage procurement for the site, liaising with suppliers to produce quotations for services and supplies and present the information for management approval.
• Sales and Marketing
Liaising with the Head of Sales and Technology and the Sales Consultant, the Centre Manager will pro-actively contact leads, conduct viewings and following up on enquiries. They will produce and finalise sales deals and agreements with potential clients. They will also be responsible for negotiating contract renewals with existing licensees and agree renewal terms before the contract ends. The Centre Manager will market and promote the building to commercial agents and the local business community. In conjunction with Airivo Management they will develop and carry out marketing strategies that have the potential to generate office enquiries and raise the profile of the building.
• Building Operations:
The Centre Manager will be responsible for maintaining a high professional standard of presentation within the building whilst staying on top of any maintenance issues. The role requires a technical proficiency and the Centre Manager should have a complete understanding of how the telecoms and internet are delivered in the building and be able to identify faults and work with the maintenance support to resolve faults and problems promptly and efficiently.
Following the setup of the Airivo Farringdon site, the Centre Manager will in time work with the assistance of a Service Co-coordinator. They will manage the Service Coordinator’s schedule and they will train and develop them in their role. They will keep a log of sickness or lateness and will liaise with Airivo Management in relation to any HR issues.
• Sales and Purchase Ledger
With assistance from Airivo Management, the Centre Manager will produce sales invoices to distribute by email to licensees. They will also manage any debtors, ensuring accounts are settled promptly and they will issue statements of accounts where required. The Centre Manager will also be responsible for signing off invoices and expenses for the centre
• Health and Safety
Working with the Business Operations Manager, the Centre Manager will be responsible for the day to day operation of Health and Safety policies within the building. They will carry out a schedule of H&S practices and will ensure that the building is a safe environment for licensees, employees, visitors and contractors.
• Budget preparation
With the support of the Head of Operations, prepare the annual budget for Farringdon & Shoreditch and be responsible for the ongoing monitoring and report variances on a monthly basis.
• Building a client community
Create events within each centre to build the client community and connect with local businesses.
Experience and Competencies required:
• At least three years’ experience as a Centre Manager within the industry
• Excellent command of English, both written and verbal
• Strong numerical ability
